The three Ps of provisioning

As the spring show season approaches, provisioners will be looking out for captains and chief stewardesses getting ready to step aboard their boss' new build. Here, we provide some beginners' advice on how to provision a new build.…

The spring show season is soon to be upon us, at which point captains and chief stewardesses will find themselves bombarded with product lists and service offerings from provisioners, with a plethora of new companies to add to the pot every year. One thing these provisioners will be hoping for is that they meet with captains and chief stewardesses who are on their boss’ old boat and preparing to move onto his bigger new build, where the initial provisioning order will be much bigger.

For Charlotte Roch, marketing director of provisioner Shore Solutions, there are three Ps when it comes to preparing for the provisioning of a new build: planning, product and purchasing; and here, she explains why following these three simple steps will ensure the smooth running of your first big delivery.

Planning

“Compile detailed lists of products needed in each department of the yacht, white considering the respective spaces you have for storing these goods once they arrive,” explains Roch, who adds that even the smallest considerations will significantly ease the process of placing the items on board the yacht. “Ideally, you should order and have delivered the items that will be kept in the furthermost points of storage first and graduate towards more frequently used pieces as space fills up.”

When it comes to budget, Roch recommends working on a cost-per-head basis and sharing this knowledge with your supplier. “This, coupled with information regarding available space, will enable them to assist you in planning ahead for additional fills and working out when you will require a top-up order.”

Product

Product decisions should ideally be based upon the full needs of the individuals on board the yacht – whether this be individual crewmembers and their individual preferences or the premium quality standards required by charter guests and the owner.

Budget is key when it comes to deciding on a product, but in when it comes to provisioning the rule is generally that you get what you pay for. “A golden rule is buying professional hardware and equipment,” explains Roch. “While this may seem expensive at the outset, replacements and repairs that you would probably experience with domestic and personal use items can be lessened in the long run.”

Purchasing

It is this area in particular where knowledge is power, and choosing to use a well-respected and well-established company is likely to provide extensive benefits, says Roch.

“Selecting a supplier who has new build experience is extremely useful as they will be able to support you in the majority of the buying stage. An experienced supplier will give you access to better prices for goods, consolidated invoicing by department, organized and reasonable delivery schedules and a considerable reduction of paperwork for you.”

So, when you’re being presented with leaflets and brochures advertising the latest offerings during the upcoming show season, remember these three Ps of provisioning when it comes to this stage of a new build. The smooth running of the provisioning process will only pave the way for successful provisioning in the future.
